Ask your venue and caterer when they need final numbers, usually two to three weeks before. Set your RSVP deadline two to three weeks before that.
Leave time to chase
Some replies always arrive late. A week or two between the deadline and the venue's date gives you time to send friendly reminders.
Make it easy to reply
The easier the reply, the fewer you chase. An online RSVP with a QR code on the invitation gets most answers in the first week.
